If you have been enabled to do so, you can swap rostered shifts that you've been assigned with another employee - directly from WorkZone.
Once you log in to WorkZone, you can view the shifts you've been assigned from the 'Next Shift' section on the Home Screen:
Here you will see a list of all the pending shifts you have in a weekly view:
To swap a shift, tap on the relevant shift tile where you will then be able to see the option to 'SWAP SHIFT' in the top right hand corner:
You will then need to select the employee you would like to swap the shift with and you also have the option to enter a note as well. Then you can tap on 'SUBMIT':
N.B. Only "recommended" employees will appear in the employee dropdown list. Recommended employees are those that can work at the shift location, are available to work (ie are not on leave or created an unavailability for that day), have the required qualification (if needed) or can work higher duties (if that's what the shift requires).
The shift will then show as a 'proposed shift swap'. You will be able to see the employee you have asked for the swap and any notes that you had added. There is also the option from here to cancel the swap:
Back on the Shifts screen you will be able to see the shifts that have a proposed shift swap against them:
Once the employee you have swapped with has accepted the swap, either one of two scenarios will occur depending on the business's approval configuration:
-
The shift tile will disappear from your Shift screen view (as it is no longer your shift); or
-
The status of the shift will change to Proposed shift swap (awaiting approval). This will then require the manager or employer to accept the swap:
If the shift swap has been approved by your manager, the shift tile will disappear from your Shift screen view.
If the shift swap has been rejected by your manager, the shift status will change to pending on your Shift screen view. You will then be required to action the shift again.
